Microsoft 365 Copilot Business UK Cost: Is It Worth It?
Microsoft 365 Copilot Business is worth it if your team lives in Word, Excel, Outlook and Teams, and your file sharing is tidy. It costs £16.10 per user per month at list price, paid yearly, excluding VAT. Existing customers on an eligible Business plan pay £13.80 for the first year if they buy by 31 December 2026. It is an add-on for an eligible Business plan, for up to 300 users. If sharing is messy, fix that first. If few people would use it, wait.

What Copilot Business is
Copilot Business is Microsoft's Copilot add-on for organisations with up to 300 users. Microsoft says it gives the same Copilot capabilities as its larger offers, with licensing designed for smaller firms.
Eligible plans include Business Basic, Standard and Premium, Microsoft 365 Apps for Business and Teams Essentials. Microsoft's documentation now says Microsoft Copilot, but its UK price page still says Microsoft 365 Copilot Business, so this guide does too.
What Microsoft 365 Copilot Business costs in the UK
The list price is £16.10 per user per month, paid yearly, excluding VAT. Microsoft's UK page also shows £13.80 per user per month under an offer. The conditions are:
- Available from 1 July to 31 December 2026.
- For existing Microsoft 365 customers with an eligible Business plan.
- Annual commitment required, and the lower price covers the first year only. The subscription auto-renews, and the offer cannot be combined with another offer.
- Not available on trials.
- A 7-day cancellation window gives a prorated refund.
- Microsoft can change or withdraw the offer without notice.
Some advanced AI features, such as Copilot Cowork, are billed by usage on top of the licence. Microsoft's setup guide says an admin must activate usage-based billing first. Admins can then set monthly limits, including one per user.
Monthly equivalent at list price, excluding VAT. Microsoft's prices are paid yearly:
| Option, per user per month | 5 users | 20 users |
|---|---|---|
| Add-on only, £16.10 | £80.50 | £322.00 |
| Business Basic £5.40 plus add-on, £21.50 | £107.50 | £430.00 |
| Business Standard with Copilot, £18.10 | £90.50 | £362.00 |
| Business Premium with Copilot, £24.60 | £123.00 | £492.00 |
Worked costs for 5 and 20 users
These examples add Copilot Business to a plan you already have, excluding VAT.
5 users
- List price: 5 × £16.10 = £80.50 a month. Over a year: 12 × £80.50 = £966.00.
- Offer price: 5 × £13.80 = £69.00 a month. Over year one: 12 × £69.00 = £828.00.
20 users
- List price: 20 × £16.10 = £322.00 a month. Over a year: 12 × £322.00 = £3,864.00.
- Offer price: 20 × £13.80 = £276.00 a month. Over year one: 12 × £276.00 = £3,312.00.
In year one, the offer saves £138.00 for 5 users (£966.00 minus £828.00) and £552.00 for 20 users (£3,864.00 minus £3,312.00). After year one, the list price applies unless Microsoft changes it.
Add-on or a plan with Copilot built in?
Microsoft's UK page now leads with two bundles. Business Standard with Copilot is £18.10 and Business Premium with Copilot is £24.60, per user per month, paid yearly, excluding VAT.
The add-on is for businesses that already hold an eligible plan. Microsoft shows its offer on the add-on only, and says offers can differ between plans with Copilot and add-ons.
Starting fresh? Basic plus the add-on is £5.40 + £16.10 = £21.50 per user. For 20 users that is 20 × £21.50 = £430.00 a month at list price.
Business Standard with Copilot is 20 × £18.10 = £362.00. That is £68.00 less a month, or £816.00 a year, and it adds the desktop apps.
Microsoft lists Copilot in Word, Excel, PowerPoint, Outlook and Teams on the bundles. We found no Microsoft page saying the bundled Copilot is identical to the add-on, so email us the plan you are considering and we will check it against Microsoft's current terms.
What Copilot does in Word, Excel, Outlook and Teams
Microsoft's Learn overview describes these uses:
- Word: drafts, rewrites and summarises documents.
- Excel: analyses data, suggests insights and builds formulas and visuals.
- Outlook: drafts emails, summarises threads and coaches tone and clarity.
- Teams: summarises meetings and captures action items. It needs a Teams licence. To use meeting content after the meeting, configure transcription or recording in Teams.
The add-on's main extra is your own work data. With the licence, Copilot grounds answers in your emails, files, meetings and calendars through Microsoft Graph.
Copilot Chat comes with eligible Microsoft 365 subscriptions at no extra cost. Without the licence it cannot search that data on its own. Staff upload each file, or use it on an email or meeting they have open. Microsoft's Learn overview also lists standard access to Copilot in Word, Excel, PowerPoint and OneNote without the add-on. Standard access depends on service capacity. Try the free tools first. If staff keep pasting documents in, the add-on fills that gap.
What Microsoft says about your data
Microsoft says prompts, responses and data Copilot reads through Microsoft Graph are not used to train its foundation models. It calls its protections enterprise data protection. Prompts and responses get the same contract terms as your Exchange email and SharePoint files.
Copilot also respects your permissions and sensitivity labels. That is the catch. It only shows people data they can already open. If a payroll folder is open to everyone, Copilot can surface it for anyone who asks.
Microsoft's page says customers outside the EU may have queries processed in the US, the EU or other regions. A Microsoft blog note dated 3 April 2026 expects local inferencing (the model running your prompt) in the UK by the end of 2026.
Who it suits, and who should wait
It suits:
- Teams that write, analyse and meet in Microsoft 365 all day.
- Heavy email and spreadsheet roles, such as sales, finance and office management.
- Firms that know who owns each SharePoint site and who can open it.
You assign licences to named users in the Microsoft 365 admin center, so you can start small.
Wait if:
- Your SharePoint sharing is untidy, or nobody owns your sites.
- Few staff work in Word, Excel, Outlook or Teams.
- You have not tried the free Copilot Chat yet.
- You cannot commit for a year. The annual commitment applies, and the refund window is 7 days.
To judge value, divide the monthly licence cost by what an hour of that person's time costs you. The answer is the hours a month Copilot must save.
Readiness checklist before you buy
Oversharing is the main risk. Work through this first:
- Sharing settings. In the SharePoint admin center, check Policies > Sharing. Microsoft says the default external sharing level for SharePoint is Anyone, the most permissive option.
- Wide groups. Find content shared with Everyone except external users, or through Anyone links.
- Sensitive folders. Check who can open HR, payroll, finance, legal and board files.
- Guests and shared channels. Review outside access in SharePoint and Teams shared channels.
- Old sites. Archive or delete inactive and ownerless sites.
- Labels. Label your most confidential files. Business Premium includes sensitive-data protection.
- Microsoft's reports. Microsoft says one assigned Copilot licence gives SharePoint admins SharePoint Advanced Management tools, including oversharing reports. Its prerequisites page lists only enterprise base plans, so ask your admin what appears in your tenant.
- Billing. Leave usage-based billing off, or set a monthly limit per user.
Our Microsoft 365 security checklist shows where to find sharing settings.

Common questions
How much does Microsoft 365 Copilot Business cost in the UK?
£16.10 per user per month at list price, paid yearly, excluding VAT. Microsoft's UK page also shows £13.80 per user per month under an offer available 1 July to 31 December 2026. The offer is for existing Microsoft 365 customers with an eligible Business plan. It needs an annual commitment, applies to the first year only and is not available on trials. There is a 7-day cancellation window for a prorated refund. Some advanced AI features are billed by usage on top.
Is Copilot Business the same as Business Standard with Copilot?
Not exactly, because they are different ways to buy Copilot. Copilot Business is an add-on for a plan you already have. Business Standard with Copilot is a plan with Copilot included, at £18.10 per user per month, paid yearly, excluding VAT. Microsoft lists Copilot in Word, Excel, PowerPoint, Outlook and Teams on the bundle. We found no Microsoft page saying the add-on is identical, so email us the plan you are considering and we will check it against Microsoft's current terms.
Can Copilot show staff files they should not see?
Only files they can already open, but that is still a risk. Microsoft says Copilot shows organisational data a person has at least view permission for. If a payroll folder is open to everyone, Copilot can surface it for anyone who asks. Check SharePoint and OneDrive sharing before you buy.
Does Microsoft use my business data to train Copilot?
No, according to Microsoft. It says prompts, responses and data Copilot reads through Microsoft Graph are not used to train its foundation models. Microsoft calls its protections enterprise data protection. Prompts and responses get the same contract terms as your Exchange email and SharePoint files.
